This workflow automatically attaches to bills after they have been posted. It generates a debtor statement in CCH Document Management if the bill remains unpaid after it becomes due.

Introduction

Note that this workflow requires the modules CCH Practice Management and CCH Document Management to be installed in your system.

This workflow automatically attaches to bills after they have been posted. It generates a debtor statement in CCH Document Management if the bill remains unpaid after it becomes due. The workflow will do this 3 times (when each statement due date is passed) while the bill is unpaid, but can be stopped by putting the bill into dispute.

This workflow only generates the statements. It does not send them to the clients. Please use this workflow in combination with the _CCH Statement Delivery workflow.

Alternative workflows

_CCH Credit Control is available if you do not use CCH Document Management, but still want to be prompted to generate a statement at the right time.

How to use this workflow

This workflow will normally be used by a credit controller. The idea is that the credit controller can monitor this workflow and get involved only if the step "Debt Seriously Overdue" is reached. To enable the workflow, once you have checked the pre-requisites below, and enabled the _CCH Statement Delivery workflow, go to Standard Workflows, and un-tick the "Inactive" checkbox.

Pre-requisites

Central Settings:

  1. Set up an extra field called “Debt Escalation Level”. It should be a category type, and have a data type of text. Make it available to Contacts and Clients, and set values of 1, 2, and 3. Ensure 1 is the default.

Document Management Settings:

  1. Ensure a document type is configured called "Smart Reports" that has a system type of "Smart Reports". Ideally this would be a unique one used only for this purpose. The document type cannot be renamed, as it will cause the workflow to fail to generate the statement
  2. Add this new document type to the Client Filing Library
  3. Ensure this document type has document security set for anyone who needs to view statements in CCH Document Management (The Add Document permission should not be needed here, as we only want the system to create documents using this type)

Possible Enhancements
You could add additional manual steps if you prefer to call the client after each statement has gone out.
