How to prepare your business for your CCH Project
How to prepare your business for your CCH Project
Regardless of the size of you project, there are a number of things you can do to prepare for it. A good place to start is with this video and then take a look at the other areas below that need to be considered.
It's vital your whole team are fully engaged in the project, and we have some tips to support you with this, including: |
Key Project Stakeholders
Seemingly simple but very crucial to your project’s success, the people you choose to lead need to be able to dedicate time to the project and act as the primary contact. The launch phase can often be the busiest so key decision makers must be able to attend meetings with the project manager and consultants as plans are put into place. Your project manager will define these stakeholders with you during your launch call. We recommend you consider who these stakeholders might be ahead of this meeting.
Organization and Flexibility
Your project manager will take you through your schedule and provisional training dates. Our consultants are often booked up 6-8 weeks in advance. This means that your project manager will take the sessions that you require and plan them out based on their required order and the consultant’s availability. We will always try to accommodate any date restrictions you may have so we recommend agreeing the dates as soon as possible in order to secure the best ones possible for you.
Change Management
It is worth considering the whole picture when it comes to implementing a new system. It may be that the people who will be using it every day were not involved in the buying decision and therefore they haven’t seen all the benefits it will bring. This can often translate into feelings of doubt or even a reluctance to get involved with the new software. The other side to change management is how you will prepare your business for what is coming, data preparation for example. It is a good idea to cleanse your data so that your data migration runs smoothly and the quality of your data post conversion is the best it can be. This Managing Change article will give you some ideas on how to manage that change.
Communication and Planning
A key part in any project is letting everyone in the business know what’s happening, when, why it’s happening and what role individuals will play. Not only will this help keep things on track but it will also help your team feel involved which leads to a successful rollout.
Your project manager will take you through your plan which will involve all the dates for your data migration (if required) and subsequent consultancy and training sessions (Service Appointments). You will be able to view your service appointments in the Support Portal. Your consultants will send meeting invites for any online sessions. In order to ensure that everyone’s diaries stay clear we recommend that you ask the relevant teams to block out their diaries as soon as you have agreed the dates with your project manager.
Data Cleansing
We recommend you review your current standing data ahead of your project commencing. Bringing in poor quality data to your new CCH suite will make setting it up more difficult and reporting far less impactful.
This Article details what Practice Management data we can migrate. We offer different levels of service when it comes to migrating your data and they can be viewed here. Once we have extracted your data, you will need to complete the data cleansing spreadsheet. The short video below will help explain how to do this.
To get the right data into your new CCH products, we'll first extract data from your legacy system. You'll need to review this data before import, to make sure you're happy with what's being migrated, and how. |
