CCH Document Management: Implementation Consultancy

Overview

Implementation consultancy is the starting point of understanding your business requirements around a document management system. 

Changing your business systems involves an in depth assessment and our consultancy provides a detailed look at the software, providing knowledge to enable decisions regarding setup and deployment of your new system.

Course Duration: Either one online session or two onsite sessions will provide an opportunity to review your processes and policies with the guidance of our experienced consultants. Each session will last up to 3 hours.

Key Objectives

The purpose of the session is to review the software functionality in detail and provide you with enough knowledge to be able to make decisions regarding the setup of the software and options within it.  
It is also designed to provide discussion around the impact on existing policies and workflows in your business.  
We will also cover what new procedures may need to be put in place and what may need to be documented and communicated to the rest of the business.

Guidance will be provided by your consultant from this initial session, the business team will be required to continue to discuss and document further ahead of any end user training. 

Course Contents

Session one  

Planning and Implementation

  • Review practice’s existing document management system and processes.
  • Understanding CCH Document Management.
  • Identify the practice's team of champions who will support and promote the new system and changes within the business.
  • Training – all practice staff require end user training – who will require additional training in key areas specific to their role – i.e. managing corporate templates.
  • Review hardware/software requirements which may impact roll out.
  • Review a conversion plan–if required.

Document Management Policies and Procedures

  • Defining policies around key aspects of document management including managing scanning, filing emails, archiving and destruction.

Processes and Tasks

  • Managing all communications and correspondence with clients via post, CCH OneClick and emails.

Consultancy Outcomes

At the end of the session your consultant will work with you to define a project plan for roll out –if required, and agree the actions to be completed by all relevant parties. You will be directed to supporting collateral and eLearning in readiness for the next stages of your project.

Pre-requisites

Attendees should adhere to the Training session Guidelines.

All attendees should have a good understanding of CCH Central

All attendees should have a good understanding of their practice's existing document management systems.

Representatives should come prepared to discuss their existing workflows and policies as well as requirements from your new document management system.

Who is this course designed for?

Representative with business decision making responsibilities - Support for CCH Document Management and the paperless office from business leaders is critical to a successful implementation. Business leaders are responsible for communicating to employees the business's commitment to the roll-out of CCH Document Management and the benefits to clients.

Representative at a more detailed level who will oversee implementation - Managers or seniors involved must have a good understanding of the business's current document workflow and processes. They will provide guidance to other personnel on policies and procedures necessary in a paperless environment.

Personal Assistants\Administration - this group often have a detailed knowledge of existing procedures and can have a valuable input to the process. Ultimately they can be heavily impacted by the implementation of a document management system and therefore it is important to gather their feedback and input. Consider a Super User/Champion to represent this group.

Other - Representatives from all teams from the organisation should be present in the consultancy to ensure all areas affected by the implementation have input and the different processes that will be adopted by each area can be addressed.

The involvement of the IT department will be crucial to installation, support, and amendments of business recovery procedures. IT will not be required once installation has taken place and all technical considerations have been addressed with our specialised consultants. We will require access to your live system during the consultancy session.

Note: This consultancy is also available  onsite  including CCH Document Management Setup (see separate course outline). A consultancy session  can vary depending on complexity of topics discussed in relation to your business. 
Your consultant will discuss the agenda ahead of your session and help identify which representatives will be required across the discussion points and where decision making will be required. 
It may not be necessary for each attendee to be present throughout the whole session, but it is beneficial that they are at the start of the session to contribute to the discussion on your current systems and where there will be an impact on daily working lives of the areas they represent.
