Adding a format to a collection
The Add Format option allows a page to be added to a collection from a different client or from a different master collection.
The Add Format option appears on two screens:
- Financial Statements.
When Add Format is selected, you are asked “Add format from another client?” If you answer No, then you can add the page from a different collection in the same client. If you answer Yes, you can select the client and then copy in the page.
- Format Designer.
When Add Format is selected, you are asked “Add format from a client?”. If you answer No, then you can add the page from a master pack. If you answer Yes, you can select the client and then copy in one of its pages.
Notes
- When a format is added from a different client, it is copied. This means that if a change is made to the page in the source client it has no effect on the page in the destination client. But if a page is added from the same client, then the page is referenced by both the source and destination collections. This rule ensures that if a page appears in two collections for a single client then it appears the same in both collections, whereas if the page has been added from a different client, then a change in the source client does not affect the destination client.
- The same rule applies in the Format Designer. If a page is added from a client then it is copied; if it is added from another master collection then it is not copied.
- To see whether a page has been copied or not, right-click the list of accounts pages, select Field Chooser and drag the DocumentId into the headers of the accounts pages list. If a page has the same DocumentId in two different collections, then it is the same page and has not been copied.
