How to add an association to an existing contact or client

The Associated tab on the Suppliers window is where you can view and create relationships between suppliers and contacts in your database. From here you can create a link from the selected supplier to an existing contact or client, or create a new contact/client as you define the relationship.

To add an association to an existing contact or client:

  1. On the main toolbar click the Suppliers button File:dirname/pm/030_Suppliers/140_How+To.../150_How+to+add+an+association+to+an+existing+contact+or+client/Supplier_button_on_main_toolbar_SMALL.gif.
    The Find Suppliers page is displayed.

  2. In the Search for field, type in the name (or part of the name) of the record you want to search for.

  3. Click Search or press the [Enter] key.
    The records that match your search criteria are listed in the window.

  4. Double-click the supplier record you want to add an association to.
    The Supplier page for the selected record is displayed..

  5. Click the Associated tab.

  6. Click the Add button to add a link to a contact that already exists in the database.
    The Associate Existing Contact window appears.

  1. In the list of available relationships, click the one that applies to the association you want to add.
    The selected relationship is displayed in the Relationship field.

  2. Click in the Contact field to display the Find button File:dirname/pm/030_Suppliers/140_How+To.../150_How+to+add+an+association+to+an+existing+contact+or+client/Ellipsis_button.gif.

  3. Click the Find button File:dirname/pm/030_Suppliers/140_How+To.../150_How+to+add+an+association+to+an+existing+contact+or+client/Ellipsis_button.gif next to the Contact field to open the Find Contacts window.

  4. In the Search for field, type in the name of the contact to search for and press [Enter].
    The results are displayed in a list.

  5. Select the required contact from the list displayed and click OK.
    The Find Contacts window closes. The selected contact is displayed in the Contact field in the Associate Existing Contact window.

  6. Click OK in the Associate Existing Contact window to close it.
    The new association is listed in the Associated tab. Click the adjacent plus sign icon to view the relationship.

Note: if you use the Add New button to create a new contact for the association, the new contact will be added to the system. You can then click the contact's name in the Associated tab, or search for the contact and fill in the details in their Contact page as you would with any other contact. You can then convert the new contact into a client or supplier if required.
