CCH Document Management 2021.2: Release Notes
Prerequisites
Installing CCH Document Management 2021.2
This release is installed using the Central Suite Installer. This ensures that all prerequisites are in place and that all the products for which you are licenced are installed in the correct sequence.

Software Enhancements
OneDrive Integration
This release provides users with the ability to check out single or multiple documents to their local install of OneDrive (which automatically syncs with their OneDrive account in the cloud) allowing employees to perform group collaboration on the checked-out document(s). When ready, the employee who initially checked out the document, can check the final document(s) back into CCH Document Management.
The Check Out to OneDrive feature is designed to work in conjunction with Office 365 for Business, therefore only One Drive Commercial Microsoft Accounts can be utilised.
Configuration Key
A new configuration key has been automatically added with a Key Value of 0, called DM_OneDriveIntegration. Enabling this new configuration key provides the users with the ability to check out document(s) to the logged in employees’ OneDrive.
Note: For Practices wishing to utilise this feature, change the Key Value from 0 to 1. Exit and re-access CCH Central.
New ribbon option
When the user accesses the Contact’s, Client’s, Employee’s Document Centre tab or the main Documents window, a new ribbon bar option called Check Out to OneDrive is available within the Open & Check Out group:
New right mouse option
When the user selects either single or multiple documents within the Contact’s, Client’s, Employee’s Document Centre tab or the main Documents window and right mouse clicks a new option is available Check Out to OneDrive.
New field chooser option
The following OneDrive field has been added to the field choosers for Contact’s, Client’s, Employee’s Document Centre tabs or the main Documents window.
Local install
To perform the Check out to OneDrive, CCH Document requires OneDrive to be installed and configured on the local workstation. If OneDrive has not been installed or configured, the following message is shown when the user tries to check out a document.
Where the user is not signed into OneDrive when they select document/(s) and click Check out to OneDrive, the following message is shown.
Installation of Microsoft OneDrive
The Microsoft OneDriveSetup.exe can be downloaded from this Microsoft link https://www.microsoft.com/en-gb/microsoft-365/onedrive/download . CCH Document Management initially supports the standard per-user installation of Microsoft OneDrive, the per-machine installation is not supported, this may change based on customer usage and feedback. Please note that this link was accurate at the time of publication.
Check Out to OneDrive
Select the document/(s) to be checked out and click Check Out to OneDrive from the ribbon bar.
If checking out to OneDrive for the first time for the day, or if you have exited and re-accessed CCH Central, the standard Microsoft Sign in box appears:
Note: CCH Central stores a token in memory of the user's selected Microsoft Sign in Account for up to 8 hours of inactivity, or until CCH Central is closed, after which the token is cleared and the user will be prompted with the standard Microsoft Sign in box once again on next Check Out to OneDrive usage.
Note: The Permission requested pop up box, will only appear once.
Click Accept.
Both the Check in/Out Status and Local/OneDrive icons are marked against the relevant document/(s), with the Checked out by field being populated by the employee who performed the action.
Too many files or File size too large
The following message is displayed if the user is trying to check-out too many documents at once or the document is too large.
The checked-out documents can either be accessed from the local path or from OneDrive online.
OneDrive > CCHDocument > Client, within this folder further sub folders are displayed. The subfolders are automatically created for each client to whom the document relates to.

Check In
Click the Check In option from the Ribbon bar, select the document/(s) to be checked in and click the Check In button.
Note: The Check-In process uploads the local OneDrive copy of the file to CCH Document Management. Therefore prior to check-in, the local copy of the document must be synchronised with the online OneDrive copy, otherwise, this could result in data loss from the modified file.
Information! CCH strongly recommends that the Onedrive path does NOT match the path used by the CCH Check-out process (Local path), as this will result in data loss of the modified files.
This initial release does not include the ability to check-in OneDrive checked-out documents via the Word or Excel CCH Document Filing tabs, CCH Development is still investigating the reason behind this, however, users can Save and close these documents, then check them in from within CCH Central.
A Microsoft OneDrive icon flashes on the Task Bar . Once clicked, the following pop-up is displayed explaining that the document will be removed from OneDrive > CCHDocument > Client > <Client_name> location.
Note: If the “Don’t show this reminder again” is checked, then the Microsoft pop-up box is not shown for any subsequent check ins.
Homepages
The following OneDrive field has been added to both field choosers for Document Centre and Document Tasks.
Note: This initial release does not include an option to Check Out to OneDrive from the Document Tasks (Inbox) or Document Centre (Recent/Checkout) homepage controls.
Uploading documents - Status/Progress bar
An Upload status bar has been added to all the Find windows, main Document Centre and within the specific Document Centre's. This upload status bar allows the user to set off an upload (either singular or multiple documents) and continue to navigate elsewhere within CCH Central.
Main Document Centre/Specific Document Centre's
Drag and Drop the documents to generate the Upload panel, or alternatively click the Upload icon from the Ribbon bar and add the documents.
As soon as the CCH Document Management - Add Documents panel is opened, at the bottom right-hand corner, an Upload Status option is visible below the Search/Properties Panels.
Enter in the relevant details within the CCH Document Management - Add Documents panel and click ok.
Note: At this stage the employee is now free to navigate elsewhere within CCH Central, or even minimise CCH Central.
The following progress bar shows the total of documents to upload and what the current status is:
Once all the documents have been uploaded the following message is returned:
If the user tries to click the Upload button again before the Upload Completed message is shown or tries to exit the application, an Upload in progress warning is presented.
Note: The previous pop-up Upload Confirmation Complete message box has been removed.
All Find Tabs (Client, Contact, Employee, Assignment)
From the Find tab, select (highlight) a record click the Upload icon from the Ribbon bar and add the documents.
As soon as the CCH Document Management - Add Documents panel is opened, a progress bar is visible within the Manage Document Group on the Ribbon bar.
Enter in the relevant details within the CCH Document Management - Add Documents panel and click ok.
Note: At this stage, the employee is now free to navigate elsewhere within CCH Central, or even minimise CCH Central.
The following progress bar shows the total of documents to upload and what the current status is:
Once all the documents have been uploaded the progress bar disappears:
If the user tries to click the Upload button again within the SAME Find window before the upload has completed or tries to exit the application, an Upload in progress warning is presented.
Home Tab
From a specific record's Home tab click the Upload icon from the Ribbon bar and add the documents.
As soon as the CCH Document Management - Add Documents panel is opened, a progress bar is visible within the Manage Document Group on the Ribbon bar.
Enter in the relevant details within the CCH Document Management - Add Documents panel and click ok.
Note: At this stage the employee is now free to navigate elsewhere within CCH Central, or even minimise CCH Central.

Document Templates
Excel .xlsm Templates
Support has been provided for Practices to add .xlsm (macro enabled spreadsheets) files within the Document Templates window.
To add a template within Document Management, navigate to File > Maintenance > Document Management > Templates click Add Templates. From the ribbon bar, click within File Name to show the browse button . Click the browse button to open the Select Document Template file, change the extension dropdown to reflect Excel Templates and navigate to the location of the saved excel files. Enter the rest of the details and click ok to add the excel template.
Where an Corrupt OpenXML error is received, user will need to set within excel ‘Save files in this format’ to ‘OpenDocuments Spreadsheet *.ods’. Please see the related Knowledge article for further information: CCH Document Management - Corrupt OpenXML error
New Document Type
A new Document System Type called AML Reports has been added within this release. This system type is to be utilised in a later release by one of the CCH Central plug in products.
Workflow
Create document step type
The Create Document step type has been enhanced to include the excel templates (.xlsm) within the Template dropdown.

Workflow
ITS 61709 - Convert doc to PDF and Create Email attachment naming convention
Previously, when using a workflow to automatically send PDF emails (where the steps included ‘Convert doc to PDF’ AND 'Create Email'). The PDF attachment included a GUID at the end of the name.
Notable Issues
Advance Search with Document upload
An issue has been found within the Client Document Centre where the Advance Search is not automatically being cleared after a user uploads a document. This will be reviewed and prioritised in a future release.
